Operations Coordinator

Formation Brand + PR is seeking an Operations Coordinator which is a key support role within our agency, working closely with the Director of Operations to manage daily operational tasks and contribute to the efficiency of the overall operational framework. This role provides tactical support in administrative functions, coordinates with vendors, and supports the implementation and monitoring of operational projects and processes.

Key Responsibilities

Administrative Support: Assist the Director of Operations in managing day-to-day administrative tasks, including preparing reports, adjusting tasks and templates in our project management software, supporting special projects, and assisting with bookkeeping.

Vendor Coordination + Office Management: Facilitate communication and coordinate activities with external vendors and outsourcing partners, under the guidance of the Director of Operations. Manage office supply ordering and day-to-day office needs of team members.

Project Support: Support the on-boarding of new projects and seamless month-to-month workflow for retainer clients. Help support the management of project timelines and documentation to ensure smooth project flow and timely completions.

Performance Monitoring Support: Aid in collecting and analyzing operational data. Support the Director of Operations in monitoring and reporting on performance to enhance strategic decision-making.

Process and Systems Assistance: Assist in the implementation and refinement of operational processes and systems such as Kantata for project management and Google Drive for content management.

People Support: Ensure team members feel supported during onboarding, and celebrated during key milestones such as birthdays and work anniversaries.

Technological Proficiency: Comfort with using various software and online tools for project management, data analysis, and operational tasks. Examples include: Google
Workspace, Microsoft 365, Slack, Asana, Kantata and Zoom. 

Background: Bachelor’s degree in Business Administration, Operations Management, or a related field preferred.

Experience: Minimum of 2 years’ experience in an operations or administrative support role, preferably in a PR, branding, or communications firm

Technical Skills: Proficiency in Microsoft Office Suite and Google Drive. Understanding of basic bookkeeping and budgeting. Experience with project management tools (e.g., Kantata, Asana). Familiarity with basic data analysis and performance monitoring tools.

In-Office Schedule: This position is required to work in-office a minimum of 3 days per week. The opportunity to work remotely on other days is available after your initial 90 days.
